TJSOrders is a private web application used by The Jewel Software and its workshop to manage repair and custom jewellery orders. Staff and worker accounts are created by The Jewel Software's administrator. Clients do not have accounts: each one receives a private link to follow its own orders.

Information we keep

• User accounts – user name, name, e-mail address, mobile number, role and branch of each staff member and worker. Passwords are stored only as irreversible hashes.
• Clients – name, mobile / WhatsApp number, e-mail address, preferred language and the orders, invoices and payments of the client.
• Orders – item description, photos and files (design renders, CAD and PDF files), weights, stages, workers, dates, prices, notes and the client's approval or comments.
• Messages – a log of the e-mail and WhatsApp messages sent for each order.
• Activity log – sign-ins and important actions with date, user and IP address, kept for security.

How we use it

• To receive, produce, invoice and deliver the client's orders.
• To inform the client (e-mail, WhatsApp) when an order is received, needs approval, is ready or is paid, and to show the order on its private link.
• To pay workers and keep the shop's accounts and reports.
• To keep the service secure (sign-in protection, audit log).

We do not sell or rent personal information and do not use it for advertising.

Google services

TJSOrders uses the Google Drive API only to upload, store and display the photos and files of the orders, in one folder of The Jewel Software's own Google Drive (a sub-folder per order). It does not read, change or share any other file, and does not delete files from Google Drive. Data received from Google APIs is used only for this purpose and is not transferred to anyone else, in line with the Google API Services User Data Policy, including its Limited Use requirements. A copy of the files is kept on the server to display them quickly.

Service providers

Data is stored on the portal's server (database and files) and in The Jewel Software's Google Drive. Messages are delivered through The Jewel Software's e-mail and WhatsApp providers, which receive only the message, the attached document and the recipient's address or number.

Retention and your rights

Information is kept while the business relationship lasts and as required for accounting and legal purposes. Clients and users can ask to see, correct or delete their personal information, or to stop the messages, by contacting The Jewel Software .

Security

The portal is served over HTTPS; each user only sees the branches and jobs allowed to their role; each client link opens only that client's orders; passwords and mail / gateway credentials are stored protected.
